Why Taobao verification differs from factory sourcing

Taobao is primarily designed for China domestic retail. A store may be a brand retailer, distributor, small workshop, trading company or individual reseller. That can still work for samples, mixed-SKU buying or low-volume replenishment, but the buyer should not assume factory pricing, export documents, stable production capacity or international after-sales support.

Start by deciding what you actually need: an exact ready-stock product, a repeatable unbranded item, customized packaging, or a factory relationship. If the requirement is heavy customization or regulated production, a domestic retail seller may not be the right route.

1. Capture the listing before discussing price

Save the product URL, screenshots, selected variation, advertised price, seller name and date. Taobao listings and options can change. Write a short specification that states material, dimensions, color, finish, accessories, logo restrictions, retail packaging and quantity. Ask the seller to confirm the specification rather than replying only with “same as link.”

For branded goods, obtain authorization and authenticity evidence appropriate to the market. A listing photo or seller assurance does not establish trademark rights or genuine origin. Avoid products that could create counterfeit or trademark-confusion risk.

2. Check identity and supply role

Ask for the legal business name when available, the operating address, contact person and the name that will receive payment. Compare these details across the store, quotation, invoice and payment instructions. A mismatch needs an explanation before payment.

Ask practical questions that expose the seller's role: Can it change color or packaging? What is the production lead time when stock is exhausted? Can it provide neutral cartons and batch consistency? Can it show current stock or production? A reseller is not automatically unsuitable, but its price, control and continuity should be evaluated differently from a manufacturer.

3. Order and approve a representative sample

Buy the exact variation you plan to scale. When it arrives at the China warehouse, photograph the parcel label, product, accessories and packaging. Measure critical dimensions and weight; check materials, finish, function, color, odor, assembly and barcode where relevant. Record the approved sample with a date and reference number.

A good sample does not guarantee the bulk order. Use it as the comparison standard for incoming inspection and define which differences would be critical, major or minor defects.

4. Convert retail information into wholesale terms

Request a written quotation for the target quantity. It should separate unit price, China domestic freight, packaging changes, labels, taxes where applicable, lead time and quotation validity. Confirm whether the price applies to every variation or only the cheapest option shown in the listing.

State the payment route and beneficiary before sending funds. Keep platform orders and other payments traceable, and do not move payment merely because a seller promises a lower price. If payment must occur outside the listing workflow, increase identity, contract and beneficiary checks.

5. Plan receiving, QC and consolidation

Give each seller a warehouse code and require it on the outer carton. Ask for carton count, SKU quantity, gross weight and dimensions before dispatch. At receiving, reconcile packages against the purchase list, photograph damage, count units and isolate discrepancies.

For repeat or higher-value orders, inspect against the written specification and approved sample before export. 6. Define remedies before scaling the order
