Why artwork approval is a production control

Packaging errors often become expensive because they are repeated across the full order. A shifted logo, unreadable barcode, wrong quantity statement or missing destination-market warning can affect every unit even when the product itself is acceptable. Verbal approval in a chat thread is not enough to identify which file the printer should use.

The buyer should treat packaging as a specification with its own dimensions, materials, print process, copy, colors, codes and tolerances. The released artwork file must connect to the purchase order, sample and inspection checklist.

1. Freeze the product before finalizing the dieline

Packaging dimensions depend on the final product, accessories, protective inserts and packing orientation. If the product size or bundle changes after artwork begins, request an updated dieline and packing sample. Do not stretch artwork to fit a different box without reviewing safe areas, folds and barcode size.

Ask the supplier to identify whether the dieline comes from the actual printer and whether it has been tested with the packed product. Confirm material thickness, flute or board type, film structure, adhesive, window, handle and finish separately from the graphic file.

2. Build a controlled artwork master

Keep design, dieline, notes and non-printing guides on clearly named layers. Outline fonts only after retaining an editable source file. Embed or package linked images at suitable resolution, define spot colors deliberately and mark finishes such as foil, embossing or selective varnish on separate production layers.

Use a revision format such as SKU-PACK-R03-20260831. The approval message should name the file exactly. When a new version is released, tell the supplier and printer to withdraw the previous one; changing the attachment without changing the filename invites mistakes.

3. Verify copy, claims and destination-market details

Proofread from the exported production PDF, not only from the design screen. Check the brand name, product title, variant, net quantity, included pieces, instructions, country-of-origin wording, contact details and every language version. Confirm that the product and carton use the same SKU.

Regulatory wording varies by product and destination. A sourcing agent or supplier should not invent safety claims, certification marks, age grades, recycling symbols or importer information. The buyer should obtain product-specific advice from a qualified compliance professional and keep the supporting test or registration evidence where required.

4. Test barcodes with final-size output

Verify that the barcode data belongs to the correct product and packaging level. Print it at intended size and scan several copies with more than one device. Preserve the quiet zone, contrast and orientation, and avoid placing the code across a fold, curve, seam or reflective finish.

Marketplace fulfillment labels and retail barcodes are different controls. 5. Approve color and finish with the right proof

A PDF displayed on two screens is not a reliable color match. Define important brand colors with a physical reference or agreed color system, and state an acceptable tolerance appropriate to the print process and substrate. White paper, kraft board, plastic film and metalized material can make the same ink appear different.

Use a digital mock-up to check content and placement, then request a physical proof, drawdown or production sample when color, legibility, finish or construction is commercially critical. Photograph the approved proof with its revision code and retain a reference in China when practical.

6. Separate retail packaging from shipping-carton marks

Master cartons need their own specification: SKU, product description, units per carton, carton sequence, gross and net weight, dimensions, handling marks and destination-specific labels. Do not copy estimated weights or dimensions into artwork before the final packing method is tested.

7. Turn approval into a QC checkpoint

The purchase order should cite the approved packaging revision, material, print method, packed quantity and remedy for nonconforming work. Before mass printing, confirm a proof or first-off sample. During pre-shipment quality control, compare random finished packs with the released PDF and approved physical reference.

Check print placement, spelling, color reference, finish, cuts, folds, seals, barcode scanning, packed-product fit and carton marks. Record defects by SKU and quantity. If incorrect packaging can be reworked, require new evidence and reinspection before balance payment or shipment.
