1. Use a sample ID that survives every handoff

An approval should identify the exact sample code and revision date. Mark any accepted deviations and define measurable tolerances. If a supplier must change the logo, color, packaging or component after the first sample, request a revised proof or pre-production sample for the affected feature.
Use clear statuses such as rejected, revise and resubmit, conditionally approved, or approved for production. Avoid “looks okay” messages that leave the production standard open to interpretation.
4. Keep a reference sample in China
If the overseas buyer receives the only approved piece, the factory and inspector may have nothing physical to compare with bulk goods. When practical, approve two matched samples: send one to the buyer and retain one sealed and coded at the China warehouse. For unique or expensive prototypes, preserve detailed measurements, color references and dated images before courier dispatch.

5. Consolidate courier shipments deliberately
Wait until the planned supplier samples arrive or a stated cutoff date is reached. Remove unnecessary outer domestic packaging only when it will not damage traceability or the product. Protect fragile finishes, separate liquids or batteries where applicable, and prepare an accurate packing list and shipment description for the courier.
Compare the cost of sending every option with the value of another decision round. Often the best process is to reject obvious failures in China, courier two or three finalists, and keep the remaining pieces documented locally. Ask the carrier about destination restrictions; the sourcing agent should not guess customs, dangerous-goods or tax treatment.
6. Transfer approval into the purchase order and QC plan
The final purchase order should cite the approved sample code, specification revision, packaging artwork, quantity, price, lead time, inspection point and remedy for nonconforming goods. Confirm that any production change requires written buyer approval.
