Quick answer: send your agent a product reference, quantity, acceptable specification, target price range, packaging and label needs, destination, timing, quality checks, sample plan and decision constraints. The agent can then return comparable supplier options instead of several prices for different products.

Why a clear brief produces more useful quotes
Suppliers can only quote what they understand. If the product photo, material, size, packaging and quantity are unclear, each supplier may quote a different grade or configuration. A low price then tells you very little because it is not comparable.
A procurement agent should use your brief to clarify the buying route and normalize supplier replies. You do not need every technical detail before contacting an agent. You do need to separate what is fixed from what can be suggested, so the agent knows where alternatives are acceptable.
The 10 details to include in a procurement-agent brief
| Detail | What to send | Why the agent needs it |
|---|---|---|
| 1. Product reference | Links, photos, drawings or a sample video | Confirms which product version you mean |
| 2. Fixed specification | Material, size, color, function and acceptable alternatives | Stops suppliers from quoting different grades |
| 3. Quantity | Trial quantity, order quantity per SKU and expected reorder volume | Sets a realistic MOQ and price comparison |
| 4. Target price | A workable price range and whether packaging or freight is included | Helps the agent rule out unsuitable options early |
| 5. Branding and packaging | Logo, barcode, insert, retail box, carton mark or FBA-label needs | Shows whether a supplier can support the full scope |
| 6. Destination and deadline | Country, delivery target and preferred shipping route if known | Links product readiness with export planning |
| 7. Supplier scope | Whether market, 1688, factory or mixed options are acceptable | Guides the supplier search instead of limiting it to one channel |
| 8. Sample plan | Whether you need physical samples, photos, video or a small pilot order | Creates an approval point before bulk production |
| 9. Quality and compliance | Critical defects, test requirements, labels and buyer-platform rules | Turns “good quality” into checkable evidence |
| 10. Decision constraints | Budget, must-have features, prohibited materials and your preferred contact method | Lets the agent prioritize the right questions and next action |

Ask the agent to return a comparable supplier shortlist
A helpful reply is more than a list of prices. Ask for the supplier type, product differences, MOQ, unit price, sample cost, packaging scope, lead time and any open questions. If the order involves several suppliers, ask how samples, quality control, warehouse receiving and consolidation would be handled.

Compare the same scope before choosing the lowest price
Compare price only after you confirm the same material, dimensions, packaging, MOQ, quality expectation and trade terms. A lower unit price can become more expensive if it excludes the packaging, sample, domestic delivery, inspection or correction work your order needs. Our supplier quotation comparison checklist explains the fields to keep in one sheet.
Brief template FAQ
Can I start with only a photo?
Yes. Add the intended use, approximate size, quantity and your target market. Tell the agent which details are flexible so they can find practical alternatives.
Should I give a target price?
Yes, when you have one. A range is more useful than an unexplained single number. State whether it includes packaging, domestic delivery or freight so quotes can be compared fairly.
Is an agent quote a final order confirmation?
No. Treat the first quote as a comparison point. Confirm sample, specification, packaging, payment terms, quality requirements and shipping plan before approving a bulk order.
